Invites and ownership.
Getting your crew in, and handing the team over.
Getting people into a team, changing what they can do, and handing the team over. All of it is administrator work.
Inviting someone
Open your team, find Invite Members, and send an invitation to the person's email address, choosing the role they should hold:
- Administrator (full access)
- Editor (create, read, update)
- Member (read-only)
They receive an email with a link. Opening it shows them the invitation and what team it is for. If they already have an account they can accept straight away; if not, they create one first and the invitation is waiting.
Invitations expire, so an old link that nobody used will not sit around indefinitely as a way into your team.
Pending invitations are listed alongside your members, and can be deleted if you sent one to the wrong address or the person is no longer joining.
Changing someone's role
From the Team Members list, change a member's role. The change takes effect immediately, on their next page load.
Promoting a volunteer to editor for the week of an event and returning them to member afterwards is a perfectly reasonable pattern.
Removing someone
Removing a member takes away their access to the team. Their work stays: events they created, guests they added, check-ins they took are all owned by the team, not by them.
Leaving a team
If you are a member of a team you no longer work with, you can leave it yourself. You lose access to that team's events, and you keep your own account and any other teams you belong to.
The owner cannot simply leave, because a team without an owner has nobody who can administer it. Transfer ownership first.
Transferring ownership
Transfer ownership hands the team to another member. Reach for it when you are stepping away from an organisation, handing a client their own account, or passing a community event on to whoever runs it next.
It is deliberately a confirmed action rather than a one-click one: after the transfer, the new owner holds the team and you do not.
The person receiving the team is notified.
Deleting a team
Deleting a team is an administrator action and takes its events with it. Export anything you want to keep first: guest sheets and attendance data are not recoverable once the team is gone.
