Locations.

A location is a venue you save once and attach to as many events and schedules as you like. They live under Locations in the main sidebar, alongside Events, because they belong to your team rather than to any one event.

Why they are separate

Most organisers use the same handful of venues over and over. Saving them means the address is typed correctly once, and every event that happens there points at the same record.

It also means a multi-venue event is no harder than a single-venue one: each schedule picks its own location, so a conference with a main hall and an off-site dinner is two schedules pointing at two locations.

Creating a location

Choose Create Location and fill in:

• Name. What people call it: SMX Hall 3, The Rooftop, Community Centre.
• Details. Anything the address does not tell you: which entrance to use, where parking is, which floor.
• Address line 1 and 2, city, state, zip code. The postal address.
• Latitude and longitude. Optional, and worth setting for a venue that is hard to find by address alone. The map preview on the form confirms you have the right spot.

Using a location

Locations attach at the schedule level, not the event level. When you create or edit a schedule you choose its location from the list.

That is intentional: the question "where is this happening?" is only answerable per session once an event has more than one.

Changing a location

Editing a location updates every schedule pointing at it, on every event, including events that have already happened. That is usually what you want when a venue changes its name or you fix a typo in the address.

If a venue has genuinely moved, create a new location rather than editing the old one, so past events keep pointing at where they actually took place.

Deleting a location

You cannot delete a location that a schedule still uses. Repoint or remove those schedules first. This stops an old event losing its venue record just because you tidied up your list.
