Guests

Tickets and badges.

QR tickets by email, printable badges, and the raw QR files.

A ticket is a QR code with the guest's details around it. This page covers every way to get one into a guest's hands, and what to do when the usual way has not worked.

What a ticket is

Each guest carries one QR code, unique to them and to this event. Scanning it at a terminal checks that guest in to the selected schedule.

The code is what matters. The PDF, the badge image and the email are all just wrappers around it. A guest who shows the QR on a cracked phone screen scans exactly like one holding a printed badge.

The normal path

Most guests never need you to do anything.

For a free tier, the ticket email goes out the moment they finish registering. For a paid tier, it goes out once payment is confirmed. Either way, the guest receives their QR code without you touching the guest list.

Per-guest actions

Each row on the guest list has a menu with five actions.

Preview PDF opens the ticket in a new tab exactly as the guest will see it. Use it to check your event name and details read correctly before a big send.

Send PDF emails this guest their ticket again. This is the fix for "I never got my ticket", which is almost always a full inbox or an over-eager spam filter.

Download PDF saves the ticket file. Useful when you need to hand someone a ticket through another channel entirely.

Download PNG saves the badge as an image, for a badge printer or a design tool.

Download QR Code saves just the code, with no ticket design around it. This is the one to use when you are laying out your own badge artwork.

The same actions are grouped under Badge Actions on the individual guest page.

Sending to everyone at once

Broadcast Tickets, in the Tools menu on the guest list, emails every billing contact on the event.

Each contact receives one message containing all of their paid tickets for this event, even if they registered several times. Someone who booked three seats in two separate transactions gets one email with everything in it, rather than five.

Broadcasting is queued, so a large event works through in the background while you carry on.

Use it after an import, or when you have changed something everyone needs to see. For one guest, use Send PDF instead.

Printing badges in bulk

For printed badges, request a guest sheet or a QR codes export from the exports tool.

  • QR Codes (PNG) gives you a zip of code images, one per guest, for laying into a badge template.
  • QR Codes (SVG) gives you the same as vectors, which is what your printer will ask for.
  • Guest Sheet (ZIP) gives you a CSV per ticket tier, including each guest's QR code URL, name, tier and registration answers. This is the file a mail-merge badge layout wants.

Exports run in the background and appear on the exports page when they are ready.

If a guest turns up with nothing

They do not need a ticket to get in. Use the door desk to find them by name and check them in by hand. The QR code is a convenience for speed, not a requirement for entry.
